FROM THE REGION V GOVERNANCE HANDBOOK:

2.0       Regional Advisory Board:   

2.1       The Regional Advisory Board (hereafter noted as RAB) shall be comprised of the REC, the Vice-Chairs of Design and NPP, the Chief Financial Officer (hereafter noted as CFO), the Immediate Past Chair, the Professional Development Coordinator, the Festival Registrar, the Regional Historian, the Festival Webmaster, the Regional O’Neill Critics Institute Coordinator, the Irene Ryan Coordinator, the Festival Workshop Coordinator, the Festival Dramaturgy Coordinator, the Festival Stage Management Coordinator and the Festival Directing Coordinator.  The RAB serves an important advisory and management function for Region V.  In addition to oversight of a specific area of the festival in January, members of the RAB also provide updates, suggestions, new ideas and historical context to the Regional Executive Committee as circumstances merit.  RAB members should have, at minimum, successfully responded to productions for at least one year, attended the Region V festival for at least two years and have demonstrated a commitment to the region and to upholding a high standard for festival activities.

2.2       Terms:

2.2.1    The CFO’s term will run concurrently with the Regional Chair.

2.2.2    The Vice-Chair and Vice-Chairs of Design and NPP will run for three years and automatically move into the positions of Chair, Chair of Design, and Chair of NPP unless otherwise specified by the National Committee.

2.2.3    All other RAB members will serve one-year appointments that may be renewed upon the request of the Regional Chair.      

2.3       All RAB members are invited to the Festival Selection Meeting held in December.  A separate RAB meeting will be held to report to the REC any updates and/or initiatives.  RAB members are also invited to observe the selection process as non-voting members.  All RAB members are expected to attend the Festival Feedback/Assessment conversation at the January festival (check the festival schedule for exact time and place.)       

2.4       Conflict of Interest and Ineligibility Rule:

2.4.1    With the exception of REC members, participating productions from the college or university in which a member of the RAB is employed may be considered for the regional festival, provided the RAB member recuse themselves from any discussion or consideration of that production.

2.4.2    A member of the RAB may fulfill a direct or indirect artistic or supervisory capacity in an associate or participating entry from the college or university in which they are employed, but must recuse themselves from any discussion or consideration of that production and where any aspect of that production is discussed for recognition or student awards.

To apply for one or more of these positions, please send an email to Tom Woldt, Region V Chair, which includes a statement of interest and a brief statement of qualifications.  While you are welcome to nominate someone else, please make sure the other person has agreed to be nominated.

 Festival Registrar--Oversees all processes for festival registration, including pre-registration on-line, staffing and equipment needs for on-sight registration at the festival, organizing all identification badges and other registration “packet” materials to be disseminated to registrants, working with festival hosts and volunteers to maintain registration service throughout the festival, accounting and management of funds received and transfer of funds to Regional Chair or Chief Financial Officer.  Communicates clearly with Regional Chair, Vice-Chair/Festival Scheduler, Host Festival Coordinator, Workshop Coordinator, about the needs and limitations of the process. Provides a written report following the festival.

O’Neill Center National Critics’ Institute (NCI) Coordinator--Organizes the materials, events and people involved in the Critics’ Institute during the festival, including working with the student-critics, working with the REC and the host institution with regard to schedule and space, providing assistance to one or more Festival Special Guest/Respondent(s) assigned to the Critics institute, organizing and receiving any application materials that may be required from interested students, organizing and/or collaborating on workshops pertinent to or led by people involved with the Critics’ Institute.  Communicates early and constantly with the National NCI coordinator for resources, event strategies and guidelines.  Communicates clearly with Regional Chair, Vice-Chair/Festival Scheduler, Host Festival Coordinator, Workshop Coordinator, about the needs and limitations of the event.  Provides a written report following the festival.

Irene Ryan Scholarship Audition Coordinator--Manages all of the activities and materials pertaining to the Irene Ryan Scholarship Audition process.  This process can include overseeing on-line nomination of Ryan candidates, and subsequent on-line Festival Pre-registration by those candidates, confirming that all participants satisfactorily meet the royalty/permission requirements of the event per the national rules and guidelines, organizing all auditionees and judges into a suitable schedule of preliminary-round auditions, communicating with all judges, including preliminary round, semi-final and final round personnel, about rules and logistics, working with the REC and the host institution to ensure appropriate room space, equipment needs (pianos, requisite furniture, etc.) and volunteer personnel needs, overseeing the staging and stage-management of the Semi-final and Final Round auditions, working closely with the Regional Vice-Chair (Producer), the Costume Parade Coordinator and host personnel to create a successful Evening Showcase of Final Round Auditions and Costume Parade, organizing feedback/response sessions, and serve as host for the Semi-Final and Final Round sessions.  Communicates clearly with Regional Chair, Vice-Chair/Festival Scheduler, Host Festival Coordinator, Workshop Coordinator, about the needs and limitations of the event.  Provides a written report following the festival. 

Festival Workshop Coordinator--Manages all of the activities and materials pertaining to the Workshop section of the festival.  This process can include overseeing on-line proposal of workshops by faculty or Festival Special Guests, soliciting workshop ideas and leaders aggressively from Region V faculty and professional artists, working closely with REC and host institution to meet the scheduling, space and equipment needs of all workshop sessions, organizing all workshop information and personnel biographies into written format ready for publication in the festival brochure, according to the Region V style sheet and instructions, collaborating with local hosts in managing volunteers who will host/monitor all workshop sessions.  Communicates clearly with Regional Chair, Vice-Chair/Festival Scheduler, Host Festival Coordinator, about the needs and limitations of the event.  Utilizes established “Workshop Response Forms” for assessment and uses the information gained from them to provides a written report following the festival.

Festival Dramaturgy Coordinator--Works closely with the Regional Chair and REC, organizes the materials, events and people involved in the Dramaturgy events during the festival.  This can include working with the student-dramaturgs, working with the REC and the host institution with regard to schedule and space, providing assistance to one or more Festival Special Guest/Respondent(s) assigned to the Dramaturgy area, organizing and receiving any application materials that may be required from interested students, organizing and/or collaborating on workshops pertinent to or led by people involved with the Dramaturgy area.  Communicates early and constantly with the National Dramaturgy Coordinator for resources, event strategies and guidelines.  Communicates clearly with Regional Chair, Vice-Chair/Festival Scheduler, Host Festival Coordinator, Workshop Coordinator, about the needs and limitations of the event. Provides a written report following the festival.

Festival Directing Coordinator—Works closely with the Regional Chair and REC to develop the protocols and guidelines for events that support and highlight “Directing” for both student- and faculty-directors.  Oversees development of the Student directing-scene auditions for the Society of Stage Directors and Choreographers (SSDC) Student National Fellowship.  This will include choosing a cross-section of playwrights from whom students may choose material, establishment of rules and timelines for the event, publicizing the event prior to the festival, overseeing registration and application processes, collaborating with Regional Chair and REC in securing judge/respondent personnel for the event, and outlining criteria for limiting the number of SSDC award applicants in case that need should arise.  Will also review materials as needed for presentation to the REC or for choosing directors for various events, organize feedback sessions, workshops and/or other related activities that pertain to the student directors, provide assistance to one or more Festival Special Guest/Respondent(s) assigned to the area of Directing.  Will work closely with the Regional Chair to develop and promote Faculty directing initiatives through workshops, potential faculty directing opportunities at the festival and roundtable discussions.  Communicates clearly with Regional Chair, Vice-Chair/Festival Scheduler, Host Festival Coordinator, Workshop Coordinator, about the needs and limitations of the event.  Provides a written report following the festival. 

Festival Stage Management Coordinator:  Manages all of the activities and materials pertaining to the Stage Management showcase/display, workshops and the integration of the “Festival Honors Stage Management Team,” including the publicizing of the opportunities prior to the festival; accepts and organizes application materials for consideration for the National Stage Management Fellowship; communicates clearly with Regional Chair, Design and Technologies Chair, Vice-Chair/Festival Scheduler, Host Festival Coordinator, Workshop Coordinator, about the needs and limitations of the event; provides assistance to one or more Festival Special Guest/Respondent(s) assigned to the area of Stage Management.  Provides a written report following the festival.
